1. Who we are

ScaffQuote is a photo-to-quote estimating service for scaffolders. The service is operated by Bond Labs Limited (trading as “ScaffQuote”), the data controller for the personal data described in this policy. (Bond Labs Limited is in formation; the details below are confirmed on incorporation.)

2. What personal data we collect

We collect and process the following, depending on how the service is used:

(a) From scaffolders (our account holders)

• Account email — used for passwordless sign-in (we email you a one-time 6-digit code; we do not store a password).
• Firm profile — company name, contact name, phone and other business details you enter.
• Credentials shown on quotes — e.g. CISRS/NASC numbers, insurer name and cover, years trading (only what you choose to enter).
• Bank/payment details you choose to display on quotes — e.g. account name, sort code and account number, so your customer can pay you.

(b) About your customers (entered by you, the scaffolder)

• Client name and email address.
• Site / job address.
• Uploaded building photos of the customer’s property, used to generate measurements and a visual.

For your customers’ data, you are the data controller and we act as your processor — see our Terms of Service.

(c) Technical data

• Authentication session cookies and limited technical/log data needed to run and secure the service.

3. How and why we use your data (purposes)

• To provide the quoting and visualiser service and your account.
• To run AI photo-measurement and job-description parsing on uploaded photos and text.
• To generate a photoreal render of the proposed scaffold on the building.
• To email quotes to your customers on your behalf.
• To secure the service, prevent abuse and meet our legal obligations.

4. Our lawful bases (UK GDPR)

• Performance of a contract — to give you the service you signed up for.
• Legitimate interests — to run, secure and improve the service, where not overridden by your rights.
• Consent — for AI processing of uploaded photos. You may withdraw consent at any time (this does not affect processing already carried out).

5. Sharing & sub-processors

We do not sell your data. We share it only with the service providers (“sub-processors”) needed to run ScaffQuote — for AI, hosting, storage, database, email and (in future) payments. See the full list:

6. International transfers

Your data is primarily stored in the EU (London / eu-west-2). Some sub-processors are based in the US or operate globally. Where data is transferred outside the UK, we rely on appropriate safeguards such as the UK International Data Transfer Addendum to the EU Standard Contractual Clauses (SCCs). 7. How long we keep it (retention)

• Account & quote data — kept for the life of your account, then deleted or anonymised within a reasonable period. [TODO: solicitor — confirm exact retention period.]
• Uploaded building photos — automatically purged after [N] days. (Note: automatic photo purging is being implemented.)

8. Your rights

Under UK GDPR you have the right to:

• access a copy of your personal data;
• have inaccurate data corrected (rectification);
• have your data erased;
• receive your data in a portable format;
• restrict or object to certain processing.

To exercise any of these, email privacy@scaffquote.com. In-app self-service export and “delete my data” tools are coming.

You also have the right to complain to the Information Commissioner’s Office (ICO) at ico.org.uk, though we’d ask you to contact us first so we can help.

We may update this policy from time to time. We’ll change the “Last updated” date above and, for material changes, take reasonable steps to notify you.
