Privacy Policy

1. Who we are
ScaffQuote is a photo-to-quote estimating service for UK scaffolders. ScaffQuote is a trading name of Bond Labs Limited. It is operated by Bond Labs Limited (trading as ScaffQuote), the data controller for the personal data described here.

You can complain to the Information Commissioner’s Office (ICO) at ico.org.uk. We do not display an ICO registration badge.
2. What personal data we collect
(a) From scaffolders (account holders)
- Account email. Used for passwordless sign-in. We email a one-time 6-digit code. We do not store a password. The lawful basis is performance of a contract.
- Firm profile. Company name, contact name, phone, company address, VAT number and other business details you enter.
- Credentials shown on quotes. For example CISRS/NASC numbers, insurer, years trading (only what you choose to enter).
- Bank details you choose to display on quotes, so your customer can pay you. We do not take card payments ourselves.
- Display preferences. Light/dark theme and metres vs feet, saved on your account so a new device can adopt them. The quote engine always stores and prices metres.
(b) About your customers (entered by you)
- Client name, email and phone.
- Site / job address.
- Uploaded building photos used to estimate measurements and produce a visual. A photo of a house may show neighbouring property. You warrant you have the right to upload it.
- Private share links. When you send a quotation, we mint a token URL (under /q/) so your customer can view and accept it. Anyone with that link can open the quotation until you revoke it. We sign photo URLs for a short time at view.
For your customers’ data, you are the data controller and we act as your processor. See our Terms of Service.
(c) Technical data
- Authentication session cookies and limited technical/log data needed to run and secure the service. See our Cookie Policy.
3. How and why we use it
- To provide the quoting and visualiser service and your account.
- To run photo-measurement and job-description parsing on photos and text you submit.
- To generate a photoreal render of the proposed scaffold on the building, if you ask.
- To email quotes to your customers on your behalf.
- To secure the service, prevent abuse, and meet our legal obligations.
4. Lawful bases (UK GDPR)
- Performance of a contract. To give you the service you signed up for, including measuring photos you upload as part of quoting.
- Legitimate interests. To run, secure and improve the service, where not overridden by your rights.
- Legal obligation. Where the law requires us to keep or disclose information.
We do not use your data for advertising. Optional marketing would only happen with a separate, withdrawable consent. We do not currently send marketing.
5. Sharing and sub-processors
We do not sell your data. We share it only with the providers needed to run ScaffQuote: hosting, database, email, and AI measurement/render. The current list is at Sub-processors.
6. International transfers
Your account data is primarily stored in the UK/EU (London). Some providers (AI, email, application hosting) process data in the United States or globally. Where data leaves the UK we rely on appropriate safeguards in those providers’ standard terms, typically the UK International Data Transfer Addendum to the EU Standard Contractual Clauses.
7. How long we keep it
- Account, quotes, customers and photos. Kept for the life of your account so you can sign in on a new device and recover your jobs.
- After you delete your account, we aim to complete erasure within 30 days, except where we must retain a limited record to meet a legal obligation or resolve a dispute.
8. Your rights
Under UK GDPR you have the right to:
- access a copy of your personal data;
- have inaccurate data corrected;
- have your data erased;
- receive your data in a portable format;
- restrict or object to certain processing.
To exercise any of these, email privacy@scaffquote.com. We aim to respond within one month. You can also export your data, and permanently delete your account, in Settings. Signed-out help is on Support.
You also have the right to complain to the ICO at ico.org.uk. Please contact us first so we can help.
9. Children
ScaffQuote is a business tool for trade users aged 18 or over. It is not directed at children and we do not knowingly collect children’s data.

11. Changes
We may update this policy. We will change the “Last updated” date and, for material changes, take reasonable steps to notify you.
